Position Overview
The Secretary is responsible for maintaining accurate records of the Henrietta Quilt Club’s activities and supporting clear communication among officers and members. This role ensures important information is documented, organized, and accessible.
Key Responsibilities
- Record and maintain accurate minutes of all club and board meetings
- Distribute meeting minutes to members and officers in a timely manner
- Maintain official club records, including bylaws, policies, and protocols
- Handle club correspondence, including emails and written communications, as needed. Membership Chair will provide you with an up-to-date list of members and contact information to be updated,
- Assist the President in preparing meeting agendas and supporting meeting logistics
- Notify members of meetings, events, and important announcements
- Ensure records are organized on the google drive and passed on during leadership transitions
Qualifications
- Strong organizational and record-keeping skills
- Attention to detail and accuracy
- Clear written communication skills
- Basic computer skills (email, word processing, and document sharing)
- Reliability and ability to meet deadlines
Time Commitment
- Attendance at monthly meetings and board meetings
- Approximately 3–6 hours per month for recording minutes and handling communications
Reporting
- Works closely with the President and executive board
Term (optional)
- Typically a 1–2 year elected position (adjust as needed)
