Job Description: Program Coordinator (and committee members)
Purpose: The Program Coordinator is responsible for planning, organizing, and communicating the annual schedule of programs and activities for the club or organization. This role ensures that all events, meetings, and special programs are scheduled, communicated, and executed smoothly, working closely with the Program Committee.
Key Responsibilities:
- Set Annual Calendar:
- Establishes the calendar dates for all meetings and activities from September through June.
- Standard meeting schedule:
- First Tuesday: Business Meeting
- Second Tuesday: Sit & Sew
- Third Tuesday: Program Meeting
- Fourth Tuesday: Sit & Sew
- Fifth Tuesday (if applicable): Sit & Sew
- Program Planning:
- Plans and organizes programs, including securing speakers, arranging classes, and coordinating demonstrations.
- Collaborates with the Program Committee to brainstorm and implement engaging activities.
- Documentation & Communication:
- Prepares a typed schedule of all program dates and activities once finalized.
- Makes copies of the program schedule to distribute at the first business meeting in September.
- Ongoing Communication:
- Provides reminders at each business meeting about upcoming events and ongoing projects.
- Committee Collaboration:
- Works with the Program Committee to plan and implement programs as needed.
Example Implementation:
- At the start of the year, the Program Coordinator meets with the committee to finalize the schedule and brainstorm program ideas.
- After confirming speakers and activities, the Coordinator types up the schedule and distributes it to all members at the September business meeting.
- Each month, the Coordinator reminds members of upcoming events and ensures all logistics are in place for speakers or special activities.
This structure ensures clarity, consistency, and engagement throughout the program year.
