Minutes: from 10/7/2025 approved.

Treasurer:  Peggy D. provided the account balance and reported that income and expenses for the October retreat were reconciled. Scholarships are still available. The required form and guidelines are online. Scholarship recipients agree to share information on techniques learned during an HQC meeting.

Website: Updated guidelines for the scholarships will be on the website soon. Information on project supplies and dates can be found there.

Historian: no report

Comfort Quilts: Carol M. reported that 16 quilts were donated to Coldwater Women and Children’s Home. The next charity to receive quilts will be Caring Choices Pregnancy Help Community. 

22 quilts were collected today.

Donation sites and size requirements are on the website. Labels are still available

Retreat: Chris B. a successful and much enjoyed October Retreat. Members completed a quilt top to donate. Next retreat is April 20-22, 2026. Registration for this will begin in 2026.    

Chris B. has batting and backing is available for Comfort Quilts and the Queen Bee projects. Please provide her with the sizes needed.

Sunshine Committee: Zoe S. no new report. 

Books, Magazines: Kathy R. had a “last chance” assortment available today from the collection of Ginny S. More books, patterns and magazines will be available at the next meeting.

Fabric Sales: Joyce J. announced that tat the next business meeting there will be scrap exchange. Please bring any scrap fabric pieces up to a quarter yard, do not include “crumbs” or batting. As of July 2026, Zoe and Joyce will be vacating their positions as Fabric Coordinators. Please consider volunteering for the next term.

Holiday Charity:   Jean M. volunteered after the October meeting to coordinate this year. The holiday charity donations will be changed from Margaret House to Foodlink Rochester.  The change is due to a food crisis in 2025, which saw delays and potential loss of SNAP benefits thousands in the Rochester area. Cash or non-perishable food will be collected at the December 2 meeting. Foodlink does not accept gift cards. Holiday Luncheon:  Jane M. collected fees and menu requests today.

Sit & Sews    Sit and Sews are scheduled at Jackie Lynne’s from 11:00 to 4:00 ($5 fee applies) through December. There are no dates in the Town Hall for December.

Picnic:  Volunteer are needed to coordinate. Bushman Cabin has been reserved for 6/ 9/2026.  

New Business:  Protocol changes were approved and are on the website.

A draft of amended by-laws was sent to members for review prior to today’s meeting for a vote today. The amendments were accepted by unanimous vote of those present. 

By-Laws will be updated on the website.

Going forward, Policies, Procedures and By-Laws will be stored on a Google Drive with a folder for each committee. The president and Webmaster will have all access; each committee coordinator will have access to their folder. Documents will be updated as changes occur.

Committee chairpersons are asked to submit a summary of duties to Jean O. for storage on the website. 

Positions of President, Program Committee Coordinator will be opening next term. Please consider these positions and contact Jean O.

Program: Linda S. reminds members regarding the seasonal projects discussed at the last meeting. Linda also demonstrated a quick and easy cord wrap made with Velcro and scarps.

Nov. 18 at the Henrietta Library Community Room from 12:30-3:30 Marlene C. and Peggy D. will give a Fat Quarter Hobo Bag class. Please prepare for the class by cutting 6 fat quarters to size and preparing the handles. Instructions are on the website. Sit and Sew will also be available at that time.

Dec. 2 meeting- There will be a “Towel Exchange” bring any towel embellished any way you choose. At the meeting, members who  brought a towel will swap with each other.

The Queen Bee Groups met today to discuss their individual block colors and patterns and assembly plan. Finished quilt for donation will be due at the Business Meeting in June.

Show & Tell:  Completed projects were presented by members. Photos are on the website.
